Swa Privacy Policy

Last Updated: 01/30/2025

Introduction
Welcome to Swa Technology LLC (“Swa,” “we,” “us,” or “our”). This Privacy Policy (“Policy”) is provided for informational purposes only and does not constitute legal advice. By using or accessing our websites, applications, and related services (collectively, the “Services”), you agree to be bound by the terms of this Policy.

Scope of this Policy

This Policy applies to all products, services, websites, and platforms offered by Swa. It explains how we collect, use, disclose, and protect information that relates to the Services. Because Swa integrates with multiple Large Language Model (LLM) providers—currently including OpenAI, Anthropic, and Perplexity (“Third-Party Providers”)—it is important that you review their respective privacy policies as well.

Pass-Through Service

Swa functions primarily as a pass-through service, meaning user input is temporarily collected and processed to fulfill requests, then passed to the relevant Third-Party Provider. We do not store your personal information beyond what is necessary for system logs and service provision.

Data Control

Any data from your connected accounts (e.g., Google Drive, Box) remains under your control. You can disconnect or remove these integrations at any time. We do not share or sell your connected data to any third parties.

Contact Information

If you have any questions or concerns regarding this Policy or our data practices, please reach out to us at info@swa-ai.com.

Note: Always consult with a qualified legal professional to ensure that this document meets the specific requirements of your jurisdiction and business operations.

Information We Collect
2.1 User Input and Contextual Data

Pass-Through Data: When you interact with our Services (e.g., by entering queries or prompts), we transmit your input to one or more Third-Party Providers. Swa does not store or retain the substance of your queries beyond what is necessary to process them in real time.
Contextual Information: If you choose to connect external data sources (such as Google Drive, Box, Slack, Microsoft Teams, or other integrations), we may temporarily access and store the relevant content (e.g., documents, channel conversations, product information) that you select in order to provide enhanced responses or contextual insights. This data is used solely to improve your experience on the platform, and you maintain full control over it. You can delete or disconnect these integrations at any time, and any associated data stored by Swa for these enhanced services will be removed or anonymized within a reasonable timeframe.
2.2 Temporary Logs and System Records

Operational Logs: We may store minimal technical logs (e.g., timestamps, API call details) needed to maintain system performance, troubleshoot errors, or comply with legal obligations. These logs do not include the full text of your input or any personally identifiable information (“PII”).
Retention Period: Such logs are kept for a limited duration and are deleted or anonymized once they are no longer required for the stated purposes.
2.3 Account Information (If Applicable)

Registration Data: If you create an account with Swa, we may collect basic account details such as your name, email address, and password (hashed and salted).
OAuth Tokens and API Keys: For integrations requiring secure credential storage (e.g., OAuth tokens for Google services), we keep these tokens in a protected environment to enable seamless access to your data sources. We do not share or sell your tokens to third parties.
2.4 Device and Usage Information

Device Data: We may collect standard device information (such as IP address, operating system type, browser type) automatically to enhance user experience and ensure compatibility.
Analytics: We might use internal or third-party analytics tools (e.g., logs of feature usage) to understand how users interact with our Services. This includes using Google Analytics, which collects information such as your IP address, browser type, the pages you visit, and the time you spend on those pages. We use this information to analyze trends, administer the website, track user movements around the site, and gather demographic information about our user base as a whole. Google Analytics may also use cookies and other tracking technologies to provide its services.
Google Analytics Opt-Out: If you wish to opt out of Google Analytics, you can install the Google Analytics Opt-out Browser Add-on or adjust your browser settings to refuse cookies.
2.5 Cookies and Similar Technologies (If Applicable)

Cookies: Our websites may use cookies (small text files placed on your device) to remember your preferences or to authenticate your session.
Opt-Out: You can modify your browser settings to refuse cookies or to notify you when a cookie is being sent. However, this may impact certain features of the Services.
2.6 Children’s Data

Age Restriction: Swa’s Services are designed for individuals 18 years of age or older. We do not knowingly collect personal data from children under 18. If you believe a child under 18 has provided us with personal information, please contact us so we can remove it.
How We Use Your Information
We use the information we collect for a variety of legitimate business and operational purposes, including:

3.1 Providing and Maintaining Our Services

Fulfillment of Requests: We use your input and contextual data to process and deliver the functionality you request, such as generating responses from Third-Party Providers or retrieving relevant files from your connected accounts.
Platform Operations: Operational logs and other system records enable us to ensure the reliability, security, and efficiency of our Services.
3.2 Personalization and Enhanced Context

Improving Relevance: When you connect external data sources, we use selected information (e.g., product details, policy documents) to offer more contextually relevant responses and content.
Customization: Cookies and similar technologies may be used to remember your preferences and tailor your experience on our platform.
3.3 Analytics and Service Improvement

Usage Analytics: We analyze aggregated usage data—including via Google Analytics—to understand how users interact with our Services. This helps us identify areas for improvement and optimize user experience.
Feature Development: Insights from analytics guide our efforts to develop new features or refine existing ones.
3.4 Communication

Customer Support: We may use your account or contact information to communicate with you about technical support, important service updates, or responses to inquiries.
Administrative Messages: These include notifications about changes to our Services, terms, or policies.
3.5 Security and Fraud Prevention

Threat Detection: We use system logs and other technical data to detect, investigate, and prevent malicious activities, fraudulent transactions, or unauthorized access.
Network Integrity: Ensuring the security of our platform is paramount; relevant operational data may be analyzed to protect against threats.
3.6 Legal Compliance

Regulatory Requirements: We may process and retain data as required by applicable laws and regulations.
Law Enforcement Requests: Where required, we may disclose information to comply with court orders, subpoenas, or other legal processes.
How We Share Your Information
We understand the importance of keeping your information secure and confidential. We share your information only under the following circumstances:

4.1 Third-Party LLM Providers

Purpose of Sharing: We transmit your prompts and contextual data to providers like OpenAI, Anthropic, or Perplexity solely to fulfill your requests and generate responses.
Their Policies: Each Third-Party Provider has its own privacy policy, and we encourage you to review those documents to understand how your data may be processed.
4.2 Service Providers and Vendors

Operational Support: We may engage trusted third-party vendors or service providers to help us operate, maintain, and improve our Services (e.g., data hosting, analytics, customer support).
Data Protection: These entities are contractually obligated to protect your data and may not use it for any purpose other than the services requested by Swa.
4.3 Legal Obligations and Security

Compliance with Law: We may disclose your information if required to do so by law, court order, or other legal processes.
Protection of Rights: We may also share information to investigate or prevent illegal activities, suspected fraud, violations of our Terms of Service, or threats to personal safety.
4.4 Business Transfers

Corporate Events: In the event of a merger, acquisition, reorganization, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction.
Notification: We will notify you or provide a clear disclosure on our website if your information becomes subject to a different privacy policy due to such a corporate event.
4.5 Aggregated or De-Identified Information

Usage Insights: We may share aggregated, non-personally identifiable data (e.g., overall usage statistics) with third parties for analytics, marketing, or research. Such data does not contain personal identifiers.
Data Security and Retention
We prioritize the protection of your data through technical, administrative, and physical safeguards designed to reduce the risk of unauthorized access, use, or disclosure.

5.1 Security Measures

Encryption: We use industry-standard encryption (e.g., HTTPS/TLS) to protect data in transit. Sensitive tokens and credentials are stored in encrypted form.
Access Controls: Access to user data is restricted to authorized personnel who require it to perform their job functions. We regularly review permissions to ensure ongoing adherence to the principle of least privilege.
Monitoring: Our systems are monitored for potential vulnerabilities and breaches. We employ firewall, intrusion detection, and other security tools.
5.2 Data Retention

Storage Duration: We retain personal information only for as long as necessary to fulfill the purposes outlined in this Policy or as required by law. Operational logs are generally kept for a limited duration, after which they are securely deleted or anonymized.
User-Controlled Deletion: For data linked to your external integrations (e.g., Slack, Microsoft Teams, Google Drive), you may remove or revoke access at any time, and related stored data will be anonymized or deleted within a reasonable period (usually immediate).
5.3 Security Incidents

Incident Response: In the event of a data breach or security incident, we will notify affected users and relevant authorities in accordance with applicable data protection laws.
Preventive Actions: Post-incident reviews help us enhance our safeguards to prevent future breaches.
Data Residency and International Transfers
All data is hosted in the United States using U.S.-based servers and infrastructure. If you are accessing our Services from outside the U.S., be aware that your information may be transferred to, stored in, and processed within the U.S. By using our Services, you consent to any such transfer and processing in accordance with this Policy.

Legal Safeguards (If Applicable): While we do not currently transfer personal data outside the U.S. other than as noted, if required by law or specific business operations, we will take steps to ensure appropriate safeguards are in place.
