Swa Technology Inc ("Swa," "we," "us," or "our") operates a pass-through AI service that connects your team's collaboration platform to leading AI providers. This Privacy Policy describes how we collect, use, and protect your information when you use our platform.
Key principle: Swa operates as a pass-through service. We do not train AI models on your data, and we do not retain your prompts or AI responses after delivery.
Information We Collect
User Input Data
When you interact with Swa via Slack, Microsoft Teams, WhatsApp, or SMS, your messages are transmitted in real time to the selected AI model for processing. This data is not stored by Swa after the response has been delivered to you.
Connected Source Data
If you connect external data sources such as Google Drive, Box, Slack, or Microsoft Teams files, Swa accesses this content temporarily and solely for the purpose of fulfilling your request. Access is scoped and revocable at any time.
Operational Logs
We maintain minimal operational logs for system reliability and security monitoring. These logs do not contain personally identifiable information (PII) or the content of your queries.
Account Data
When you create an account, we collect:
- Name and email address
- Organization name
- Hashed passwords (we never store plaintext credentials)
- Billing information (processed by our payment provider)
Device and Analytics Data
We collect standard device and browser information, including IP addresses, browser type, operating system, and usage patterns, to improve our service and ensure security.
Cookies
Our website and admin portal use essential cookies for authentication and session management. We use analytics cookies, including Google Analytics, to understand how users interact with our platform. Google Analytics collects information such as your IP address, browser type, the pages you visit, and the time you spend on those pages.
You can manage cookie preferences through your browser settings. To opt out of Google Analytics specifically, you can install the Google Analytics Opt-out Browser Add-on.
Children's Data
Swa's Services are designed for individuals 18 years of age or older. We do not knowingly collect personal data from children under 18. If you believe a child under 18 has provided us with personal information, please contact us at info@swa-ai.com so we can remove it.
SMS Data Practices
For users who interact with Swa via SMS:
- Phone numbers: When your company administrator registers you for SMS access through the Swa Admin Portal (admin.swa-ai.com), we collect your phone number to deliver AI-powered responses via text message.
- SMS delivery: Your phone number and message content are transmitted through Twilio, our SMS delivery provider, for the purpose of sending and receiving messages.
- Data retention: We retain a rolling window of the 8 most recent messages for context continuity, which are automatically purged after 24 hours. Conversation history is also indexed in our knowledge system to provide contextual responses over time. Usage data (such as message counts and timestamps) is retained for billing and analytics purposes.
- Opt-out and deletion: You may stop receiving SMS messages at any time by replying STOP. To request deletion of your stored SMS conversation history, contact support@swa-ai.com or have your administrator remove your phone registration from the Admin Portal.
- No third-party sharing: We do not share, sell, or distribute your phone number, SMS opt-in data, or mobile consent information to any third parties for marketing or promotional purposes.
How We Use Your Information
- Service fulfillment: Processing your AI queries and delivering responses
- Security monitoring: Detecting and preventing unauthorized access, fraud, and abuse
- Personalization: Remembering your preferences, custom agents, and workspace settings
- Analytics: Aggregated, anonymized usage data to improve platform performance

Data Sharing
We share data only in the following limited circumstances:
- AI model providers: Your prompts are sent to the selected LLM provider solely for generating a response. We do not share account data, metadata, or any information beyond what is necessary to fulfill the query.
- Service vendors: Third-party vendors who support our infrastructure (hosting, payments, analytics) are bound by strict contractual data protection obligations.
- Legal requirements: We may disclose information if required by law, subpoena, or valid legal process. We will notify you of such requests unless prohibited by law.
- Business transfers: In the event of a merger, acquisition, reorganization, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you or provide a clear disclosure on our website if your information becomes subject to a different privacy policy.
- Aggregated data: We may share aggregated, non-personally identifiable data (e.g., overall usage statistics) with third parties for analytics or research. Such data does not contain personal identifiers.

- Resell, sublicense, or redistribute access to the Service without written permission
Third-Party Integrations
The Service interacts with third-party Large Language Model (LLM) providers (e.g., OpenAI, Anthropic, Perplexity) and other platforms (e.g., Slack, Microsoft Teams). Your use of those integrations is subject to their separate terms. Swa is not responsible for third-party services.
Content Ownership and Rights
Your Content
You retain all ownership rights to the content you submit through the Service. By using Swa, you grant us a limited license to process your content solely for the purpose of providing the Service.
AI-Generated Output
Output generated by AI models through the Service is provided "as is." While you may use AI-generated output in accordance with these Terms, Swa does not guarantee the accuracy, completeness, or fitness of any output for a particular purpose.
Intellectual Property
Swa owns all rights, title, and interest in and to the Service, including all software, algorithms, interfaces, documentation, and related intellectual property. Nothing in these Terms transfers any ownership rights to you.
If you provide feedback, suggestions, or ideas about the Service, you grant Swa a perpetual, irrevocable, royalty-free license to use, modify, and incorporate that feedback without restriction or compensation.
Service Availability
Swa strives to maintain high availability but does not guarantee uninterrupted access to the Service. We may perform scheduled maintenance, updates, or experience unforeseen outages. We will make reasonable efforts to provide advance notice of planned downtime.
Fees and Payment
Pricing for the Service is detailed on our Pricing page. By subscribing to a paid plan, you agree to pay all applicable fees. You are responsible for all taxes associated with your use of the Service. Fees are non-refundable except as expressly stated in writing.
Termination
Either party may terminate this agreement at any time. Upon termination:
- Your license to use the Service ends immediately
- You must cease all use of the Service
- We will delete your account data in accordance with our data retention policies
- Any outstanding fees become immediately due
Swa reserves the right to suspend or terminate your access if you violate these Terms or if your use poses a security risk.
Limitation of Liability
To the maximum extent permitted by law, Swa's total aggregate liability for any claims arising from or related to the Service shall not exceed the greater of:
- The total fees you paid to Swa during the 12 months preceding the claim, or
- One hundred US dollars ($100 USD)
In no event shall Swa be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, or business opportunities.
Disclaimers
The Service and all output are provided "as is" and "as available." To the fullest extent permitted by law, Swa disclaims all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.
Output generated by the Service does not constitute legal, financial, medical, or other professional advice. Always consult a qualified professional for specific guidance.
Indemnification
You will defend, indemnify, and hold harmless Swa, its affiliates, and their directors, officers, employees, and agents from and against any claims, losses, liabilities, damages, and expenses (including reasonable attorneys' fees) arising from or related to your content, your use of the Service, or your violation of these Terms.
Governing Law and Jurisdiction
These Terms are governed by the laws of the State of Washington, without regard to its conflict of laws principles. Any disputes arising from these Terms or the Service shall be resolved in the courts of Clark County, Washington.
SMS Program Terms
If your organization uses Swa's SMS functionality:
Opt-In Process
Swa uses a double opt-in process. Your workspace administrator registers authorized phone numbers in the Admin Portal. Each user then receives a confirmation SMS and must reply YES to activate the service.
Message Frequency & Content
- Message frequency varies based on your usage. Swa SMS is conversational and user-initiated.
- We do not send marketing or promotional messages.
- Standard messaging and data rates from your mobile carrier may apply.
Opt-Out & Help
- You may opt out at any time by replying STOP to any Swa SMS message

Carrier Liability
Carriers are not liable for delayed or undelivered messages. Message delivery is subject to your carrier's network coverage and availability.
Delivery & Privacy
SMS messages are delivered via Twilio's secure infrastructure. Phone number: (513) 327-5792. We do not share your phone number or mobile information with third parties for marketing purposes. For full details, see our dedicated SMS Terms page.
Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes via email or through the Service. Your continued use of the Service after changes take effect constitutes acceptance of the revised Terms.
Miscellaneous
- Entire Agreement: These Terms constitute the entire agreement between you and Swa regarding the Service and supersede any prior agreements.
- Assignment: You may not assign or transfer these Terms without Swa's prior written consent. Swa may assign its rights and obligations freely.
- Severability: If any provision is held unenforceable, the remaining provisions will remain in full force.
- Waiver: Swa's failure to enforce any provision is not a waiver of its right to do so later.
